A: Windchime is an application that lets patients find same and next day appointments at dentist offices near them at discounted prices. While at the same time, helping to fill last minute, open slots in dentist office’s schedules.
Q: How does Windchime work?
A: Windchime is a mobile app that patients can download for their iOS and Android phones to search for dentist appointments at offices close to them. They will see open time slots for same and next day appointments for the service(s) they need done. Once they see a time that works, they can book an appointment with your office directly through the app.
Q: Why should I pay to use Windchime when I’ve already invested in other tools?
A: Windchime doesn’t send you empty leads, email vague marketing blasts or general advertisements... It sends you actual patients who are coming in to your office for real dental work within the next 48 hours. It helps you fill last minute openings in your books for time you’ve already paid the overhead for and doesn’t charge you flat monthly fees. You only pay Windchime once actual patients have walked through your doors.
Q: How much does it cost?
A: Windchime is FREE to sign up and there are no monthly/yearly recurring costs. Providers only pay Windchime a small fee of $49.95 per patient, per visit.
Q: How do I pay Windchime?
A: Windchime will invoice you at the end of every month. We will charge your credit card on file once the invoice is approved.
Q: What do I pay if a patient doesn’t show up for their appointment?
A: The cost is $0 to you if a patient doesn’t show up for their appointment. No-shows will be accounted for in the monthly invoices.
Q: What is the Windchime Fee Schedule?
A: The Windchime Fee Schedule consists of the maximum allowable fees that patients will view for dental services in the Windchime app. Providers are encouraged to competitively discount these fees to accommodate consumers and attract patients to fill your last minute, and often less desirable, appointment times. You must agree to our Fee Schedule in order to join Windchime to keep the marketplace fair.
Q: What about the contracts I have with insurance companies and their fee schedules?
A: The discount you set is always off the Windchime fee schedule price. The Windchime price is higher than insurance caps in most cases. Practices will often set their discounts to place them in line with the price caps of the insurance they accept, but how you work with your insurance contracts is totally up to you.

A: It’s easy! Just fill out the form here and that starts the process. We’ll have you ready to go in no time.
Q: How do I know if I have a Windchime appointment coming in?
A: Once your office has been onboarded, you will have access to the Windchime dashboard on your desktop computers in your office. Simply login and see if any appointments have been booked. You will also get an email informing you of the booking. And finally, we also call your front desk to let them know you have an incoming patient.
Q: What is the Windchime dashboard?
A: The dashboard is a simple website, so there is no special software needed in order to use it. Here, you can see when patients have booked a time slot through Windchime. Once you see a notification for a newly booked appointment, you can accept it and see the patient’s name and their appointment time.
Q: How will my office appear in the Windchime app?
A: Your office will be listed by the name of your practice and show the distance from the patient to you. There will also be images of your office and dentist(s), along with the same and next day time slots you have open availability for.
Q: What if I decide that I don’t like the Windchime program after joining?
A: You can terminate your agreement and be removed from our network and app at any time.
Q: How do we obtain X-rays and other historical clinical data needed to treat an incoming patient from Windchime?
A: Any historical clinical dental information that is needed or wanted will need to be addressed with the patient. They will need to coordinate that with you and their prior doctor, if needed. No patient history will come through Windchime.
Q: What if my practice is not in the San Francisco Bay Area, California, can I still join?
A: Absolutely! We are working to expand Windchime to other areas outside of Northern California as quickly as we can. You can join our waiting list in the meantime, and we’ll let you know once we’ve launched in your city. Just send us a message.
